This Privacy Policy (“Policy”) sets forth the privacy practices of Covington Fiber (“Company,” “we,” “our,” or “us”) with respect to the collection, use, maintenance, disclosure, and protection of information obtained from subscribers (“Customer”), prospective customers, and visitors to or users of Covington Fiber’s public website and Customer Portal (collectively, “you” or “your”). Covington Fiber’s internet access and Voice over Internet Protocol (“VoIP”) telephone services are referred to collectively as the “Services,” and its public website and Customer Portal are referred to collectively as the “Websites.”
By subscribing to, visiting, or using the Services or Websites, you acknowledge that you have read, understood, and agreed to the terms of this Policy.
1. Information Collected
a) Subscriber and Website Information.
Covington Fiber may collect personally identifiable information (“PII”), including but not limited to: name, service address, billing address, email address, and telephone number; account credentials and customer support records; information submitted through forms, requests, or account features available on the Websites; and billing and payment information necessary for billing, collection, and account administration. Payment-card information submitted through the Customer Portal is processed and stored by an authorized third-party payment processor. Covington Fiber may receive transaction, payment-status, and related information necessary to apply payments, administer customer accounts, and provide customer support.
b) Internet Service Information.
In the course of providing internet access, Covington Fiber may collect: IP address assignments and related technical identifiers; dates, times, and duration of network connections; bandwidth consumption; and device information necessary to manage network integrity. Covington Fiber does not monitor, record, or retain information regarding the specific websites visited, applications used, or content transmitted over the network, except as required for legitimate network management, security purposes, or lawful compliance.
c) VoIP Service Information.
In connection with VoIP services, Covington Fiber may collect and maintain call detail records (“CDRs”), including: numbers dialed and numbers from which calls are received; dates, times, and duration of calls; and caller ID information and voicemail data where applicable. Covington Fiber does not monitor or record the content of calls or communications, except where required by law, regulation, or judicial order, or where expressly authorized by the Customer (e.g., voicemail storage services).
d) Website and Customer Portal Information.
In connection with the Websites, Covington Fiber may collect information submitted by users; account, login, and activity information; IP addresses, browser or device information, and other technical records; and information collected through cookies, logs, or similar technologies. Such information may be used to operate, secure, maintain, support, and evaluate the Websites.
2. Use of Information
Information collected by Covington Fiber shall be used solely for the following purposes: provision, operation, maintenance, support, and evaluation of the Services and Websites; responding to inquiries and availability requests; billing, collection, and account administration; customer service and technical support; protection of the Company’s network, Websites, accounts, and systems and prevention of fraud or abuse; and compliance with applicable laws, regulations, and governmental or judicial requests.
3. Disclosure of Information
Covington Fiber shall not sell, rent, or otherwise disclose personal or account information to third parties, except as follows: to authorized employees, agents, contractors, service providers, or payment processors who require access in order to perform functions related to the provision, operation, support, or administration of the Services or Websites, and who are bound by appropriate obligations; as necessary to comply with applicable law, regulation, legal process, or enforceable governmental request; to protect the rights, property, or safety of Covington Fiber, its Subscribers, Website users, or the public; or with the express consent of the individual. Because Covington Fiber is operated by the City of Covington, information may also be retained or disclosed as required by applicable public-records, records-retention, or other governmental laws and requirements. Covington Fiber’s handling of VoIP call detail records and other customer proprietary network information (“CPNI”) shall be governed by the rules and regulations of the Federal Communications Commission (“FCC”) and any other applicable authority.
4. Security of Information
Covington Fiber employs commercially reasonable administrative, technical, and physical safeguards to protect information collected under this Policy from unauthorized access, disclosure, alteration, or destruction. Notwithstanding the foregoing, no method of electronic storage, transmission, or third-party service can be guaranteed as absolutely secure. You acknowledge and accept this inherent risk.
5. Retention of Information
Information collected under this Policy shall be retained for such periods as are necessary to fulfill the purposes identified in this Policy; to comply with applicable laws, regulations, public-records requirements, records-retention obligations, or other governmental requirements; and to resolve disputes or enforce agreements. Thereafter, such information shall be securely deleted or anonymized when permitted and reasonably appropriate.
6. Individual Rights
Subject to applicable law and applicable public-records, records-retention, regulatory, contractual, and other legal obligations, individuals may request access to personal information maintained by Covington Fiber; request corrections, updates, or deletions of such information; and opt out of receiving non-essential marketing communications. Requests shall be submitted in writing to the contact information provided herein. Covington Fiber reserves the right to verify the identity of the requester and to deny or limit requests that are unlawful, infringe on the rights of others, conflict with applicable obligations, or cannot reasonably be accommodated.
7. Cookies and Web Tracking
When visiting or using the Websites, cookies, logs, or similar technologies may be employed to support functionality, maintain security, measure usage, and enhance the user experience. Users may manage certain cookie settings through browser controls; however, disabling cookies may impair Website functionality.
8. Amendments to Policy
Covington Fiber reserves the right to amend or modify this Policy at any time. Material changes shall be effective upon posting of the revised Policy on the Company’s public website and may also be made available through the Customer Portal, unless otherwise required by law.
